Day 14 of 14 on how to make your schedule a little bit easier to fill!

Follow up. Getting the patients you already have to schedule appointments will
always be more effective and quicker than bringing in more new patients.

Follow up is a vital system you need in your office. Over the next 14 days we’re breaking it down- how to follow up effectively.

If you want the full guide from this series on How to Make Your Schedule a little Easier to Fill
comment GUIDE and we will send it over.

Day 13 of 14.

An ASAP list is the back plan you need to fill your schedule.

To make it more effective, add in the value for the patient to come in earlier, and make sure to ask
every patient to join.

Day 12 of 14. When a patient calls to cancel, have a conversation.

If it’s last minute start with your kindly start with your cancellation policy, the time you have reserved for their appointment, then ask if there’s anything you can do to help them keep it.

You will be surprised how responsive patients are when you take the time to have this conversation.

Do you have this conversation with your patients?

Day 10 of 14. The quick reappoint.

The easiest way to fill an upcoming hole in your schedule is using the patients that are currently inside of your office.

The key is to find a piece of information that makes that appointment slot you’re trying to fill valuable for the patient to take.

After you master this, filling those last minute openings becomes MUCH easier.

Day 10 of 14.

No one likes this but you still have to do it! Roleplay conversations with patients around scheduling, presenting treatment, taking cancellations, and finances.

Pair up on your team and have one team member play the patient and give objections, and the other team member be in their actual role in the office. The more you practice the better you’ll get.

Remember it’s awkward for everyone, but roleplaying allows you to hold each other accountable to actually getting it AND have better conversations with patients that convert.

Day 9 of 14.

If we want patients to schedule and keep their appointments we have to make sure all their questions are answered before they leave.

An easy way to do this ask “What questions can I answer for you?”

This simple tweak will engage the patient to think to be sure they have had all their questions answered.

Try it this week and see what happens.

Day 8 of 14.

If you want patients to schedule without hesitation, ask the right questions.

“Do you want to schedule?” and “When do you want to schedule?” are two questions we should eliminate completely. Yet they often still sneak out.

It’s a hard habit to break- do you find yourself accidentally reverting back to these questions?

Day 7 or 14.

Passing off the objection. When a patient declines treatment, the handoff matters even more.

Instead of taking the patient to the front desk and stating the patient is not moving forward with treatment, hand off the objection.

"This is Sally. She needs a crown on her lower right tooth where there's a large area of decay. She mentioned she's not sure about scheduling right now because of finances, I let her know you're the expert on the finance side, so I'll let you two discuss.

Now the admin team has somewhere to go with the conversation. Does your team do this?

Caption: Day 6 of 14: Hear the patients quetsion and then refer to the expert on the team.

Staying in your role is how patients avoid mixed messages.

Does your team have clear roles? Tell me below.

Day 5 of 14: A proper handoff. Make sure they happen, and happen every time.

We can loose ground with patients when handoffs are not seamless. Make sure to give the next team member all the information they need to take care of the patient. And to make your hand offs even better, PRACTICE.

Does your office do great with hand offs, or could they use some improvement?
