In my most recent newsletter, I talked about something we use every day at Birdseye Billing called The Insurance Compass. 🧭

Insurance billing can feel inconsistent sometimes. One payor requires portal uploads, another only accepts attachments through certain channels, and the rules always seem to change.

The Insurance Compass is the system we use to track payer quirks, documentation requirements, and the little “gotchas” that can slow down claims.

Instead of relearning the same lessons over and over, we document them once and build a process around them.

Mondays set the tone for your revenue.

Most offices start the week reacting to emails, patient questions, and whatever feels urgent. Profitable practices do something different. They take 20–30 minutes to plan. Not to fix everything. Not to clean up every account. Just to get clear on where the money is sitting, what patterns are showing up, and which cash flow priority deserves focus this week. That small planning window creates direction for the days ahead. Instead of scrambling, there’s strategy. Instead of reacting, there’s leadership.

Revenue doesn’t improve by accident. It improves by intention.

If your billing feels reactive week after week, it’s usually not a people problem. It’s a systems problem. And systems can be fixed. Ready for a revenue reset? Let’s talk.

🦷 Why Clinical Teams Need to Know the Basics of Dental Insurance

Dental insurance isn’t just a front desk thing. Understanding the basics helps the entire team, especially clinical staff.

Important conversations often start in the operatory, during exams or treatment discussions. When hygienists and assistants understand coverage limits, waiting periods, or frequency rules, they can:

💬 Guide patients with confidence
💬 Reinforce the treatment plan the doctor recommends
💬 Prevent surprise denials or confusion later at checkout

Real-world example:

If a patient needs a crown replacement, many plans won’t cover it if the existing crown is less than 5 years old. When clinical and front office teams catch that early, the benefits can be calculated correctly and the patient can be informed upfront instead of being surprised by a denial or balance later.

You don’t have to know every code or payor rule, but knowing what questions to ask and what might impact coverage helps the whole office flow better.

When clinical and administrative teams speak the same language, patients feel it, and trust you more.

A quick note from the billing side 👋

At Birdseye Billing, we step in and take over the billing side of your practice, keeping claims moving, following up on unpaid balances, and helping your revenue flow more smoothly behind the scenes.

Grateful doesn’t even begin to cover it. I had such a great time joining my good friend Teresa Duncan on her podcast Nobody Told Me That! to talk through real-world payor issues, insurance challenges, and the detective work that happens behind the scenes to get claims processed and paid.

We dove into the problem-solving, the patterns we start to see across offices, and the small details that can make or break a claim. It was refreshing to sit down with someone who truly understands the day-to-day reality of billing and isn’t afraid to talk about what actually works in the real world.

I also shared a bit about my Insurance Compass, a system for tracking payor patterns and solutions, almost like a living map for navigating claims to payment.

If you’re in dental, mental health, or billing and want a behind-the-scenes look at how this all really works, this episode is worth a listen. 🎧💙

Dental billing shouldn’t feel like a constant uphill climb but lately, it does. Same effort, same hours, yet claims linger, explanations shift, and consistency feels out of reach. The frustration isn’t about effort. It’s about a system that keeps moving the goalposts.

In Episode 166 of Nobody Told Me That, I’m joined by my friend and Dental Revenue Network member Brooke Bird to talk about why billing feels more complicated now than it did even a few years ago.

In this episode, we discuss:

✅ Why claims now require far more follow-up than before
✅ How payer quirks and clearinghouse changes slow payments
✅ What aging accounts are really telling you
✅ Practical ways to tighten systems without burning out your team

🎧 Tune in to the episode and let me know in the comments: what’s been your biggest billing frustration lately?

Quick X-ray reality check 🦷✨

One of those “wait…when did this change?” moments is starting to show up on the billing side.

Radiographs are being looked at less like routine SOP checkboxes and more like doctor-prescribed diagnostic tools that need clear clinical notes to justify why they were taken and how they support treatment.

Same office. Same provider. Different patients. Different clinical needs.

If you’re starting to notice more questions, delays, or back-and-forth tied to radiographs, I broke down what I’m seeing (and how to clean it up) in this week’s newsletter 👇
